The Nursing Program Assistant provides a variety of administrative support services. This role provides reception and general information services to First Nations clients, partners and communities.

This position reports to the Nurse in Charge or Community Health Nurse.

JOB PROFILE Nursing Program Assistant ___________________________________________________________________

Job Title: Nursing Program Assistant

Key Focus: First Nations Health Authority and its employees are committed to a proactive holistic approach to health and wellness and are committed to the delivery of services which are sustainable and honour the customs and traditions of First Nations communities.

Job Summary: Under the supervision of a Nurse in Charge or Community Health Nurse, provides a variety of administrative support services. This role provides reception and general information services to First Nations clients, partners and communities.

Reports to: Nurse in Charge or Community Health Nurse General Duties and Responsibilities:

1. Possesses basic knowledge of First Nations traditions and etiquette.

2. Provides reception services, makes client appointments and provides forms and general program information (e.g. how to complete forms, phone numbers for key contacts) to clients, transfers CDC records to other health authorities and/or doctors’ offices and refers requests for chart transfers to nursing management.

3. Establishes, obtains and updates pertinent patient information, establishes, and maintains patient, administrative and health/nursing program files and manuals, forwards files of deceased persons to nursing management and boxes files and types file lists in preparation for archiving.

4. Maintains an inventory of office and medical supplies, identifies substitution options to nursing staff, places orders, follows up with suppliers, verifies shipments for completeness/accuracy and stores and distributes supplies, including receipt and appropriate storage of vaccines. Arranges for lab sample shipping and takes them to the local departure site as required.

5. Searches electronic and hard copy records and compiles data used to prepare nursing program information – e.g. information required for production of annual immunization reports and communicable disease outbreak statistical information.

6. Word processes reports and other documents for nursing staff, (e.g. maintenance of communicable disease records, document unusual occurrences, immunization reports, and monthly nursing program activity calendars); processes incoming and outgoing mail.

7. Provides basic maintenance and arranges for equipment repair/replacement (e.g. photocopier, fax); contacts the landlord regarding facility repairs, monitors vaccine fridge thermometers to ensure correct temperatures are maintained and advises nursing staff if a break in the cold chain occurs.

8. Maintains nursing staff voice mail access codes and shows employees how to operate telephone equipment, voice mail and call forwarding features, arranges for scheduled maintenance of local First Nations Health Authority vehicles and shows employees how to complete log books; and provides peer orientation on administrative practices and procedures.

9. Provides health promotion and prevention support to nursing employees by producing a variety of products such as newsletters, community calendars, information sheets and bulletin board displays, and provides community health support for programs such as well-baby clinics, and health fairs by researching information from designated internet sites, requesting brochures, posters and other information from stakeholders and retrieving files and taking tombstone data from clients during well-baby clinics.

Qualifications Education:

2 years secondary education.

Training and Experience

Computer and software training and experience a necessity.

Job Skills and Abilities:

 Reception skills to answer telephone, provide reception services, schedule appointments, obtain and relay information and provide basic program information.

 Procedures for the operation of a computer, printer, and suite of software programs, use of the internet, electronic mail, a photocopier, fax and multi-line telephone equipment and basic dexterity and coordination skills to use computer keyboard.

 Knowledge of security and privacy procedures to safeguard patient information, and maintenance and filing skills to update, search for, file, retrieve and transmit hard copy and electronic

information.

 Communication skills to answer telephones, greet visitors, obtain or provide straightforward information to clients, suppliers and others, understand and clarify day to day work requirements with nursing employees and provide peer orientation.

 Knowledge of procedures to order, track, verify receipt, store and distribute supplies, WHMIS procedures to safely handle and transport dangerous goods (eg. lab samples), procedures to handle and store vaccines and monitor thermometers to ensure the cold chain is uninterrupted, and names, locations and types of products available through regular suppliers (e.g. pharmacies, small independent airlines, office supply companies).
