General questions about the thesis presentation:

Before drafting the final text of the thesis, there shall be taken into account the general and specific guidelines for the elaboration of doctoral theses present in the agreements taken by the Coordination Council for Doctoral Studies and, given the case, in the agreements each International School of Doctoral Studies establish for their own doctoral programs.

In addition to being published on the “Normative” section of the CIEDUS website, any new agreement affecting the elaboration of the thesis will be published in this link:

The thesis must be handed in paper format with the original signatures of the doctoral candidate, the thesis supervisor/s and the tutor (if different from the supervisor) and on pdf to the administrative support staff of the doctoral programmes so that they can deliver it to the Academic Commission of the Doctoral Programme(CAPD). It is advisable that the administrative support staff keep a copy of the work on pdf to later send to the named tribunal (except in the case of a thesis with protection rights which will be in charge of sending it to the staff at the International Centre for Doctoral and Advanced Studies of the USC (CIEDUS)

The copy of the thesis must be attached to the form T50 and the form completed by the doctorate candidate together with the documentation stated on the form.

Clarifications: Copy of the thesis:

1. Thesis language: The thesis must be written as a general rule in Galician, Spanish or in a language commonly used in a scientific, technical or artistic field. If written in a language which is neither Galician nor Spanish, a summary in Galician or Spanish of at least three thousand words must be included with the thesis work. (Article 33 of the Doctoral Studies Regulation at the USC) In the case of presenting the thesis in publication format, it shall be taken into account the Agreement of the Coordination Council for Doctoral Studies of 23 November 2017, which set out the guidelines about the draft language of the doctoral thesis. This Agreement is applicable to all doctoral programs, giving special mention to those theses presented as a compendium of publications (o articles).

The thesis title must be in the main language of the thesis, keeping in mind that on the application Xescampus the title appears by default in Galician, they will have to make sure that the title of the thesis work corresponds exactly with the one on Xescampus

2. Language in the event that the thesis opts for International Mention: the copy of the thesis must contain at least the summary and the conclusions in a customary language for the scientific

communication in their field of knowledge, different to the official languages in Spain, except in the case where the stay and the experts that inform about the thesis come from a Spanish speaking country. That part of the thesis must also be presented in that language at the defence stage. (Article 40 of the Doctoral Studies Regulation at the USC)

3. Binding: the thesis must be duly binded when presented following the Mandatory Format at the USC (comb binding, spiral binding, stapling or badly sewn is not accepted) The work must be signed by the doctorate candidate and include a report signed by the director/s and by the tutor in the event that they are different to the director/s. In the event of handing in more than one volume, those following the first volume must be signed by the doctorate candidate.

4. Modifications to the work: Once the thesis has been submitted no changes to it will be accepted unless this has been requested to the CIEDUS. Once the thesis has been defended, it is permitted to hand in a document with any error corrections. Such document will be within the thesis work which will be sent to the General Library at the USC for its definite archive.

Process for the thesis presentation

1. Submission of the thesis by the doctorate candidate.

The doctorate candidate will submit the thesis along with all the required documentation to the support staff of the Doctoral Programmes.

2. Revision by the support staff

 Verify in Xescampus that the doctorate candidate has its administrative file correct

- The thesis title coincides with the one in Xescampus

- complies with the minimum periods required by the USC norm for the thesis presentation - has signed the Documental Agreement of Supervision.

- has the Research Plan approved by the CAPD

- and has the last Annual Evaluation favourably informed by the CAPD.

 Verify that the thesis follows the mandatory format at the USC.

 Verify that the documentation submitted is complete and correct.

 Initiate in Xescampus the file to apply for the defence.

 Keep a copy of the doctoral thesis on pdf, as well as the curriculum and the patent and publications related to later send to the named tribunal members (except theses with rights protection).

 Inform the coordinator of the programme of the start of the application.

1. Send to CAPD

Once the documentation is sent to the CAPD, this must agree or not to the authorisation of the processing of the thesis for its defence.

In the event that the CAPD does not authorise it, they must inform the doctorate candidate in writing.

In the event of an authorisation going ahead the following must be done:

 a report accepting the admission prior to the process of the thesis (proposed model). In the event that the presented theses are in publications formats, inform about the suitability of the thesis in this format. This report is different to the one issued by the director of the thesis.

one proposal of eight specialists for the tribunal who will judge the thesis, which will be accompanied by:

- Tribunal proposal data and suitable report (documentation for the support staff of the PD) one for each of the eight proposed members.

- T70 the acceptance of the proposed members (Galician, Spanish, English) which will include a declaration of responsibility to comply with requirements in order to become a tribunal member.

- As additional documentation, a written document by the CAPD of the tribunal holder suggestion can be included.

 Transmit the agreements to the support staff for its processing in Xescampus and the necessary documentation to the CIEDUS.

Clarifications:

- On the proposal no more than three members of the same institution can appear. In the event of interuniversity programmes no more than one person from the USC or collaborative universities or institutions in the programme can be a tribunal holder.

- Directors, tutors or any other person who incurs in the causes of abstention established in the article 23 of the law 40/2015 of 1st of October cannot be tribunal members.

- The requirements to be complied with by the proposed tribunal members are found in article 10 of the Doctoral Studies Regulation at the USC. According to article 36 of the regulation three holders and three substitutes, one for each holder, will be named.

- In the event of theses which opt for the International Mention, in the tribunal proposal, approved by the CAPD, there must be two experts who belong to a further education institution or a non-Spanish research institute and who do not have their certification of stay signed (a holder and a substitute).

- In the event of theses completed by a cotutoring regime they will have to comply with the agreement signed to this effect.

1. Send to the CIEDUS and exposition period open

Once the documentation has been checked by the staff at the CIEDUS, and if correct, it will then proceed to the opening exposition period and be transfered to Xescampus.

- During the exposition period at the CIEDUS, the thesis will be available to any doctor for its revision and can address in writing to the Doctoral Studies Commission the appropriate considerations about the content of the thesis.

- The period of exposition will be 10 working days in term-time (not taking into account Saturdays, Sundays and Public Holidays ).

1. Doctoral School Commission and appointment of tribunal

Once the mentioned period is over, the Doctoral School Commission will decide whether to authorise or not the proceeding, and if the case may be:

- Require additional information and summon the doctorate candidate or director/s.

- Consult the CAPD.

- Request external reports from experts in determined areas of knowledge for the advice on the valuation of the thesis and they will have the time needed for its issuing.

In the event of accepting the process of the thesis to the School Commission the tribunal appointment will proceed.

In the event of the process not being accepted, the School Commission will reasonably communicate this circumstance to the doctorate candidate as interested, indicating which aspects must be corrected before submission, in their case, a new copy or the presentation of the allegations that they consider appropriate. The director/s of the thesis and the CAPD will be informed.

Clarifications to the tribunal appointment:

- In the naming of the holders and substitues for the tribunal there will not be more than two people from the same institution so that the tribunal which acts in the defence cannot be constituted of more than one member of the same institution.

- The named tribunal will consist of three holders and three substitutes, one for each holder, that will have to comply with the established requirements in the article 36 of the doctoral studies regulation: doctor with experience in research which will be accredited with the compliance of any of the two requirements included in the article 10 of the same regulation:

- In the event of theses presented in the format of publications summary, they will not be able to form part of the tribunal as coauthors of it.

1. Communication of the tribunal appointment

 Through the Virtual Secretary of the student (SVA) and of Xescampus will be the appointed name at the disposal of the doctorate candidate and administrative support staff of the doctoral programme.

 Will be communicated via email from the CIEDUS:

- To the tribunal members, along with the application of a thesis report (proposed report model)

- To CAPD via the institutional email of the Doctoral Programme.

 To the doctoral programmes, according to the process establishedthe following will have to be sent to the named tribunal members (holders and subtitutes):

- a copy of the thesis on pdf - the curriculum

- and, when applicable, the relation of patents and publications originated by the research works and used by the doctorate candidate to complete the thesis.

If the thesis has protection rights it will be sent by the staff at the CIEDUS.

1. Thesis valuation reports

The tribunal holders will have twenty calendar days to send to the CIEDUS the individual reasoned report where the thesis is evaluated and in which it explicitly states if the thesis can proceed with the defence or not. They can use the model T62 available on the CIEDUS website and once completed must be sent only via one of these ways: email or fax or post.

The substitutes will send their evaluation in the event of acting on the same day as the thesis defence.

2. Authorisation of the defence

After receiving the reports from the tribunal holders, it will be administered if the public defence of the thesis proceeds or not.

If the outcome is positive, it will proceed to the authorisation of this establishing a period of 10 calendar days ( starting from the day after the authorisation) after which the public defence of the thesis can proceed.

Public defence of the thesis authorised:

- The CIEDUS will send the documentation to be completed by the tribunal or the coordinator of the doctoral programme so that this reaches the secretary of the thesis tribunal.

- The doctorate candidate must:

o Before the defence act, pay the right to assessment fees for the degree exam as doctor in the Section of Postgraduate, Diploma Studies and Continuous Training at the Servizo de Xestión Académica or at the administrative section established.

o Enrol and complete the required data via the application Teseo do Ministerio related to education material: https://www.educacion.gob.es/teseo/irGestionarConsulta.do, regardless of having presented the Authorisation contract or having the non-authorisation of the distribution of the electronic copy of the thesis.

- The support staff of the PD must send to Xescampus the date of the thesis reading.

1. Defence act

The defence must be done in a public session during the academic term of the academic calendar (excluding the month of August, unfit for all purposes) and will take place in a centre at the USC.

It will be done in a period of no longer than three months from the authorisation date, unless there are reasons duly justified and authorised by the School Commission. If the maximum period of time is exceeded, the process for the authorisation of the thesis defence must be started again.

2. After the defence

Submitting the documentation: The documentation completed by the tribunal, following the instructions indicated by the issuing office, by the secretary or tribunal member who is delegated to the Postgraduate, Diploma Studies and Continuing Training Section(Pavillón Estudantil, Campus Vida)

The Section will send the data of the defence on the application Xescampus.

The doctorate candidate will be able to store their title as doctor in the Postgraduate, Diploma Studies and Continuing Training Section (Pavillón Estudantil, Campus Vida)

The administrative support staff of the doctoral programme in the application Teseo must:

- Include, check and modify, as appropriate, the definite tribunal associated to the thesis.

- Mark the thesis on the application by means of including the grade obtained for the thesis.

- Notify the CIEDUS ([email protected]) that the thesis file has been completed.
