This document is intended to help folks who might be unsure how to submit a request for a Matching Grant from IBM.

The process changed starting in 2020 and this is describing the newest process which became available in 2Q2020.

Note: As of 1Q2021, IBM no longer matches the donations of their retirees. Since I am a retiree, I cannot confirm if these steps are still the same, but I believe they are. If someone tries this who is an employee, and finds that is not the case, please let me know. Also note that IBM currently is still allowing IBM retirees to submit Volunteer/Community Grant requests.

My screen shots are based on using Mozilla Firefox, but I assume other browsers will look similar. If you have any questions on this material, please contact the author, Judy Trousdell, at [email protected].

General Start Information:

First, you will need to go to the new IBM Volunteer related website:

https://ibm.yourcaus e.com. If you have not previously signed in, it will ask you how you would like to sign in or ask you to create a userid. Once you have signed in, you will see a screen like is shown

in the right column.

To get the IBM Match for a donation, select

‘Give’ in the upper menu list.

After selecting ‘Give’, you will now be on a screen which looks like this.

If you have previously donated to an

organization, that organizations icon will appear in the ‘Eligible Favorites’ list at the bottom of the screen and you can just click on it. If you have not yet donated to the organization, you need to find it.

Ensure that

‘Organization Name’

is selected (will be empty white circle to show selection) and then

type in ‘Rochester Public Library

Foundation’ and press the search icon.

You may wonder why we aren’t using

‘Friends of the Rochester Public Library’ for this, but they are not officially part of the IBM Matching Grants program even though they are part of the IBM

Community/Voluntee r Grants program.

You should now see a screen like this which lists several

organizations.

Scroll down till you see one with our library address and registration ID information, in my case it was the first one listed.

Click on the box containing the Library information. You must select this one with this address and Registration ID number.

You should now see a screen like the following. You must see the words ‘Match Opportunity’

indicating one can have one’s donations matched to continue.

For the Library, we are all set; I just mention this in case you use the same process for other organizations.

Now, you have to make a choice, if you select ‘Make a New Donation’ it will allow you to make the donation immediately by specifying the credit card that you want to use to make the payment.

Or you can ‘Log an Offline Donation’ which means you perhaps sent in a check, made the donation prior to this process,

I will go through each of these potential processes, skip to the one you are planning to use.

‘Make a New Donation’ Process:

If you selected the

‘Make a New

Donation’ button, you will see a screen which has a button for ‘Credit Card’.

Select it, and then you will see a screen like is shown to the right.

Select the

appropriate dollar amount. For the ‘Add a Designation’, I selected ‘Other’ and then entered in

‘Friends of the Rochester Public Library Inc.’ to help distinguish the donation. Next select

‘Add to My Cart’.

You will now see a pop up confirming what you entered.

If you have other charities you would like to work on, select

‘Explore More’. If you are done, select

‘Checkout Now’.

This checkout process will be described later after the description of the ‘Log an Offline Donation’ process.

Log an Offline Donation process:

If you selected the

‘Log an Offline

Donation button’, you will see a screen like the one at the right.

It is reminding you that you need to have a copy of the receipt from your donation.

If you scroll down a bit on that screen, you see more interesting information.

Enter in the ‘Donation Amount’, the

‘Donation Date’ (this is date on the receipt you got), and the type of donation. For the

‘Add a Designation’, I selected ‘Other’ and then entered in

‘Friends of the Rochester Public Library Inc.’ to help distinguish the donation. Also specify if you want to send an email to the designee.

The key step is to

copy online, either because they sent you an email, or because you scanned the receipt in. Either way, select ‘Upload File’ to get that data included. My example shows all of this information already filled in. Once you upload the donation file, you cannot review it so make sure you grabbed the right one. Then select the

‘Add to my Cart’

button.

You will now see a pop up confirming what you entered.

If you have other charities you would like to work on, select

‘Explore More’. If you are done, select

‘Checkout Now’.

This checkout process will be described later.

Checkout Process: (common to both donation methods) The first Checkout

screen provides a recap of your information which you could change if desired. It will show if you plan to donate through this site or if you made an Offline donation. If all is good, select ‘Apply Match and Checkout’.

Just for the sake of this document, I am showing the screens as if I made both an online and offline donation. You can edit or remove the donations here.

You will then see a screen like this where for each donation in your list, you must select the ‘I have read and agree’ button so be sure and scroll down to the bottom.

After you pressed the

‘I have read..’

buttons, it will give you an option stating how much you are eligible to apply for.

Since I am a retiree, my match amount is

½ of my donation.

Select the ‘Apply for….’ Option for each item, and then the

‘Next Step’ button.

It will prompt you for Privacy Information (may need to scroll up to see), i.e. if you want your

information shared with the designee.

Select as appropriate.

If you had specified an online donation, it also asks you for your credit card

information. Enter as appropriate and then select ‘Next Step’. I am not showing this intermediary screen.

You now have one more chance to confirm what you entered. If all is as you want it, select

‘Confirm and Finish’.

If not, select ‘Go Back a Step’ and make changes.

Assuming you selected ‘Confirm and Finish’ you are done! Hurray! You will receive an email (from IBM Volunteers

<[email protected]>) which tells you the request was successfully submitted. Much later, you will see another email when it has been successfully processed. If you would like to review what you gave, or see the status, you can select ‘View My Giving’ in the ‘Charities Reached’ box on the main screen (first one in this document).

Logout when you are done with any processing or reviewing.
