The kind of options available in the Online Viewer depends on where in WINPLAN++ online you open the Online Viewer.

Clicking on the thumbnail in the detail view of a plan or document opens the Online Viewer in Read Only mode . This mode offers all options needed to control the view.

Opening the Online Viewer in connection with a task in the Reminder window offers additional features for creating comments ("Redlining").

The following buttons are available for the following features: Read Only

The Online Viewer is in Read Only mode. The only features available are those for view control and general tasks.

View Control

Move view

Change the currently visible section by clicking and holding the left mouse button and moving it to a different position in the workspace.

Magnifying glass

Use this option to enlarge the view to the selected screen section. Full screen

Use this option to adjust the size of the plan or document to the size of the workspace. Adjust workspace

Adjust the framed workspace to the size of your browser window. When the size of your browser window changes, the workspace will be adjusted accordingly. Using this option again will reduce the workspace back to its original value.

Previous view

Use this option to restore a previous view. Next view

Use this option to restore the view that had been cancelled before.

General features

Print PDF

Use this option to generate a PDF file containing any combination of indexes, differences and comments relating to the plan or document that is actively displayed in the Online Viewer. A window opens, where you can make your selections and start the generation of

Save and exit

Save your current entries and exit the Online Viewer.

If comments were added, a new PDF file is created which is listed under "Variation(s) of original file(s)" in the detail section of the respective plan or document (see chapter 6

Plans, page 22).

Help

Use this option to open the Online Viewer Help.

Clicking on one of the options displayed in the bar on top of the screen opens a text field showing a description of the respective option.

Color settings

Outline color/Fill color

Use this option to define the outline/fill color for the Redlining elements you want to add.

Redlining elements – Features for placing comments

Rectangle

Use this option to add a rectangle using the preset outline and fill colors. Draw the rectangle by clicking its starting point and dragging the mouse with the left mouse button held down to define the size and aspect ratio. Once you have reached the desired end point of the rectangle, release the mouse button.

Cloud

Use this option to add a cloud using the preset outline color. Draw a rectangle by clicking and dragging the mouse with the left mouse button held down. The cloud will be placed along the rectangle.

Text field

Use this option to add text using the preset outline color. First, click the mouse to define the desired insertion point. A text field opens where you can enter your comment. You can enter a text size between 1 and 20.

Place text field

Arrow

Use this option to draw an arrow using the selected outline color. The arrow is drawn from the end of the arrow to the arrowhead with the help of two individual mouse clicks.

Polygon

Use this option to add a filled polygon using the preset outline and fill colors within freely selectable corner points. Doubleclick to define the end point and terminate the input. This will automatically close the polygon.

Polygon course

Use this option to draw an unfilled polygon course using the selected outline color along freely selectable corner points. Doubleclick to define the end point and terminate the input.

Circle

Use this option to draw a circle or an ellipse using the preset outline and fill colors by defining the center point and drawing the radius.

Stamp

Use this option to add a stamp using the preset outline color. You can choose between stamps using predefined texts, or create a stamp using your own text, or use a predefined stamp with a fixed layout.

The text size of the stamp can be in the range between 1 and 30. In order to add the same stamp on all pages of a multipage PDF file, you must enable the "Add stamp to all pages" option.

Selection list of the stamp feature

You can use your template to configure predefined stamps for your project, which are then displayed for selection in the drop-down list.

Edit elements

Move element

Use this option to move an element by moving the mouse pointer to the edge of the element until its outline is displayed in yellow. Now click on the element and keep the left mouse button pressed to drag the element to the desired position.

Several elements can be moved in the same way, after you have selected them using the "Select element(s)" option.

Rotate element

This option allows the rotation of elements. Click on the element that you want to rotate and change the rotation angle by moving the drag handle located on the right side below the element. The drag handle in the center of the element is the rotation center, which you can use to move the element without having to change the option.

Scale element

This option allows the resizing of elements using the same aspect ratio. Click on the element that you want to scale and change its size by moving the drag handle located on the right side below the element. The drag handle in the center of the element is the scaling center, which you can use to move the element without having to change the option.

Change element

The appearance of elements consisting of individual points can be changed by clicking on the element to display all line end points. They can then be moved by using the mouse or deleted by using the keyboard. To delete a point, click on the desired point until it is

marked in orange and press the Delete button. You can see a drag handle in the middle of each line. Click on this handle to divide a line or drag the point to add an additional corner. Select element(s)

Use this option to select one or more elements by directly clicking on the desired elements or by drawing a border. These elements can then be moved using the "Move element" option.

When the "Select element(s)" option is active, clicking on the document outside of an element clears the selection. You can clear the selection of a single element by clicking on it again. As long as the "Move element" option is still active, you can clear the selection by right-clicking.

Change element color

Use this option to change the line or fill color of an element to be selected to the currently selected color values.

Delete element

Use this option to delete a single element that you want to select. Delete all elements

Use this option to remove all elements created during this session. Undo

Use this option to undo an action. Restore

Search

WINPLAN++ online offers a quick search feature as well as a detail search feature.

The quick search is available in the upper right corner of the WINPLAN++ online screen:

You can use the quick search entry field at any time to enter a search string (word or part of word or plan number or part of plan number, etc.). WINPLAN++ online then searches for this search string in all WINPLAN++ online elements (plans, documents, logs, defects, agenda items, messages, and subproject names) as well as in all database fields and displays a list of the search results. In all elements found, the search text entered will be highlighted in yellow.

Searching for “ground floor”

If an element does not have a visible marking, the desired search word might have been found in the background, i.e. it is not present in the basic data, but for example in some earlier version of a plan or in the workflow history. In this case, the detail view will display a corresponding message and a link to the following page.

If the quick search result offers too many hits, you can refine your search by using the detail search feature.

To use the detail search feature, click the tab in the navigation bar. This opens a search mask where you can specifically define in which fields to perform the search.

Search input form for plans

Since the main WINPLAN++ online elements (projects, plans, documents, logs, defects, agenda items, workflows and messages) have different database fields, there is a different search mask for each element.

When you open the detail search window, the plan search mask is displayed by default, because this is the mask that you would probably use most often. Click on the corresponding tabs to select the other elements.

Most entry fields display two icons on the right side for opening all available selections:

The content of the selection windows is the same. Both methods enable users to select one or more search criteria. Depending on which method you prefer, you can make your selection by enabling the checkboxes (see right window) or collecting the desired options (see left window) from a list by clicking on them.

In the left window, you can deselect individual selections by clicking the cross next to the corresponding item. Click on the cross on the white background next to the small triangle to deselect all selections. In the right window, you can correct your selection by disabling the checkboxes for the options to be deselected.

Choose Reset fields to delete all entries in this search mask.

If you often use the same search patterns, you can also save them by clicking on Save after entering the search term. You must then specify a name for the search pattern.

Click the triangle to display the saved search patterns. Select the desired pattern and click

Load to load it in the search mask.

Choose Delete, if you want to delete a pattern again.

Once the search has been completed, the search results are displayed as described at the beginning of this chapter.

If you want to further refine or otherwise change the search pattern, please switch again to the mask. The values that were entered last are still displayed, and you can add or edit them.

Calendar

When you click the tab or the date/time indicator in the upper right part of the screen, the calendar will be displayed. The calendar provides an overview of project-related dates and events (e.g. regular meetings), yet also of the tasks assigned to you for plans and other WINPLAN++ online content.

Calendar view

Use the arrows < and > to navigate to the previous or following months. Double arrows << and >> allow navigation to previous or following years.

You can filter the events to be displayed by selecting the desired role. In addition, you can filter which types of calendar entries you want to display by placing a check mark in the

appropriate fields.

Use the button to open an input mask where you can create a new calendar entry.

Creating a new event

The following entries are possible:

Name Topic of event

Place Location where the event takes place Description Additional details of the event

Date Date when the event takes place

You can either type in the date manually, or you can use the button to select the date in the calendar.

Duration (Estimated) duration of the event You can either type in the time manually, or you can use the button to open the time selection.

Symbol Assign a symbol to the event, for example meeting, business trip, phone call, email, photo shoot, etc.

Recipient Select the participant(s) in whose calendar you want the event to be entered.

Select more than one recipient by holding down the <Ctrl> or <Shift> button and at the same time clicking the desired recipient.

Regular events Use this option to select events that take place regularly (for example Jours fixes).

Send email Select this option if you want the participants of this event to receive an additional email.

Click to confirm the event and automatically generate the emails. Click to go back to the calendar page.

Calendar: Daily view

If there is already an event entered for this date, the program displays a field showing the main data of the event.

This button can only be used for tasks, not for events! Puts the event in the Clipboard

Use this option to open the daily view, if you currently see the task details on the right side.

Creates a new event

Daily view of the current date Monthly view of the displayed event 

Click on the event to view the event details or edit the event, similar as in the case of plans.

Detail view of the event

The following fields are used for displaying the event:

Creator Indicates the participant who entered the event Name Indicates the topic of the event

Place Indicates the location of the event Description Provides more details of the event Date Indicates the date of the event

Duration from to Indicates the scheduled duration of the event

Symbol Shows the topic of the event with the help of a symbol Recipient Indicates the recipient(s) of the event

Adds a new event Copies an existing event Changes an existing event Deletes the event

Allows the export of the event in iCalendar format.

This format can be imported in any common Scheduler (e.g. MS Outlook™)

Lists

The tab in the navigation bar allows you to create different kinds of lists extracted from the WINPLAN++ online database, for example plan lists, plan route or workflow lists, lists of participants, lists of defects, etc.

Available lists are displayed in a graphic list, providing an impression about their final layout. In most cases, additional filter criteria are available for individual lists.

Once you have selected a list template, click to have WINPLAN++ online create a PDF file on the server. When you click on this file, it will be immediately

displayed in Acrobat Reader or downloaded.

Similarly, you can also create a list in Excel table format by clicking . Please observe the browser- and company-specific security settings when downloading and saving Excel files from the Internet.

Please note that the content of the list depends on the starting point in the project tree. If you are in the main project (top level), the list will be created for the whole project. If, however, a subproject (subfolder) is selected, the list content only reflects the content of this folder and any child folders. If you start the list feature in the Clipboard, the content of the Clipboard will be output in a list.

The type and number of the offered lists can vary according to the project. If necessary, you can also create project-specific list types.

Mailbox and Messages

16.1 General Information

Experienced users of WINPLAN++ online only know the Messages

feature. As of the version of October 2012 WINPLAN++ online has a new Mailbox tab.

As of this version, every participant in WINPLAN++ online will be assigned his or her own email address in the following format:

Emails sent to this address will be displayed and can be managed in WINPLAN++ online (i.e. you can save these emails in the project structure, forward emails to others, etc.). In addition, WINPLAN++ online allows you to compose emails which will be sent both internally as well as externally to the specified email address. You can compose emails as a text file or in HTML format. Attachments are possible. Under Settings / Change signature you can specify your own signature (see chapter 17.6 Change Signature, page 102).

Emails sent or received via WINPLAN++ online will be saved in the database. Any associated actions (reading, forwarding) will also be saved.

Messages received or sent by you will be collected in the Mailbox. They can then be saved in the project tree structure and can be viewed under Messages by all users who have the appropriate permissions for the corresponding folder. This is how you can make accessible important messages to other project participants.

If you are in the main project, or if you did not yet save any messages in the tree structure, the view automatically changes to the mailbox.

Mailbox

The mailbox and messages views are similar to other views in WINPLAN++ online. On the left side, you will see a list of all messages, and on the right side, you will see the details of the entry selected on the left side. In addition, you can double-click on a message in the left side to open the message in a separate window.

Inbox and Outbox are managed separately. If the inbox is selected, the Inbox term appears in dark blue letters; if the outbox is activated, Outbox appears in dark blue letters. Change from one box to the other by clicking the underlined name.
