Tracking Tasks Completed by Delegation

Tasks completed by a Delegate show in the manager’s Inbox Archive as completed by the manager. If you are a manager returning from leave, you may want to differentiate tasks you yourself have completed from tasks that were completed on your behalf by your Delegate. From your Workday home page:

1. Click Notifications in the top-right corner.

2. Search for Workday Delegated Tasks Update and find the appropriate delegation.

3. Click .

4. Click the Delegated Tasks tab. From here you may view all tasks that were completed by the corresponding Delegate.

Reviewing Requests of Your Direct Reports

You may review all requests submitted by your direct reports. 1. From your home page, click the Requests app.

2. Under View, click All Requests.

3. Search by your preferred field(s), such as the Request Initiator, Request Type, or the date the Request was InitiatedOn or After.

Note: All fields are optional. Therefore, if you skip this step you will search all Requests submitted by your direct reports on or after the default date entered.

4. Click OK. A list of your direct reports’ requests will generate.

Reviewing Requests Requiring an Action from You

You may narrow your review of requests further by only searching for In Progress requests that require an action from you.

1. From your home page, click the REQUESTS app. 2. Under View, click Requests In Progress.

3. Search by your preferred field(s), Awaiting Action By and/or Request Type. 4. Click OK. A list of requests requiring your action will generate.

Glossary of Terms

Additional JobA secondary or alternate job held by an employee that is not his or her primary job.

Application An icon on the Workday home page, which provides easy access to tasks and information used regularly (ex: Benefits, Personal Information, Time, Career, Learning, etc.)

ApproveIndicates agreement with the information presented, and approval of the task proceeding.

Awaiting Action The status of a task waiting for someone to act (ex: approve, send back, cancel).

Benefit Event An event in an employee's life that gives the employee the opportunity to change benefit elections. These include staffing changes such as getting hired or promoted, as well as "life events" such as getting married or having a child.

Benefit Plan Defines the coverage levels or amounts available to employees enrolling in an insurance, health care, defined contribution or spending account plan. Benefit Plan also

identifies the populations (ex: employee, employee + spouse, employee + children, etc.) eligible for benefits. Finally, it provides restrictions on the age(s) of the covered dependent(s) as well as plan rates and costs.

Business Process Aset of related tasks that must be completed, the order in which they must be completed, and who must complete them, for an event to occur.

CompanyAn internal business entity used to record transactions for accounting purposes (ex: SSM Health Businesses, Dean Health Plan, Inc., etc.)

Compensation Package A grouping of compensation guidelines (grades, grade profiles and their associated steps) and plans that are assigned to employees. Compensation packages provide a quick view of the eligible plans for a particular job or group of employees.

Compensation PlanA component of pay used to assign monetary amounts to a employee's pay such as a salary, an allowance, or a bonus. Some compensation plans, like a salary plan, are paid every paycheck, while discretionary compensation plans are not.

Compensation RuleAguideline for determining which employees are eligible for which components of compensation.

Competency A functional or technical ability that is needed to perform a job. In Workday, competencies can be associated with job families, management levels, job profiles and positions.

Contingent WorkerA worker who is not an employee.

Cost Center Cost Centers are used to track the financial impact of human resources

transactions. These are assigned as an Organization assignment and are grouped in related Hierarchies.

Employee An individual who works directly for SSM Health and is paid through Payroll and may be eligible for benefits.

Employee Self Service (ESS) Employee Self Service, also known as ESS, is the functionality for employees to initiate tasks from their Workday home page.

Enrollment Event Any event that results in a gain or loss of benefits coverage, including both, open enrollment and benefit events (ex: new hire, a termination, the birth of a child, and a job change).

Full-Time Equivalent (FTE) %The ratio of a employee's scheduled weekly hours to the business site's weekly hours. If an employee works 20 hours a week and the business site's weekly hours are 40, then the employee's FTE is 50 percent.

Grade Profile A breakdown of a compensation grade by functional task, geographical region, or other categorization.

Home Page The landing page that appears when Workday is opened displaying the Inbox and applications.

InboxThe Workday Inbox contains tasks that require action. Actions that have been completed appear under the Archive tab.

Job CatalogThe collection of job profiles for use when hiring or performing other staffing transactions.

Job Category Attached to a job profile, job categories allow tracking of additional job information (ex: clinical, non-clinical, etc.).

Job Classification (Group)Job classifications are required for job-related regulatory reporting and can be used to categorize job profiles (ex: EEO, Workers Compensation codes). A job classification group is the means by which individual job classifications are grouped and maintained.

Job Family (Group) A grouping of job profiles, which may be assigned to a job family group (ex: Finance, IT, etc.). Also used by candidates to sort jobs on job postings.

Job Profile Generic, pre-defined features and characteristics of a job (ex: management level, pay rate type, competencies, proficiencies, etc.). One job profile may be used for many positions.

Job Requisition Usedto request approval to fill a position. Job requisitions require a job profile and an open position. A job requisition is required to hire an employee.

Life Event A kind of benefit event that occurs in the employee's personal life, for example getting married or having a child.

LocationThe physical building location where employees perform their primary job.

Management Level (Hierarchy) Categorizes job profiles (and their associated jobs and positions) based on the management level to which they belong. For example, a particular job or position may belong to the Supervisor, Manager or Individual Contributor management level. Job profiles are assigned management levels, and those management levels are organized into a hierarchy.

Manager Self Service (MSS) Manager Self Service (MSS) is the functionality for managers to view their team, review notifications and initiate certain tasks from their Workday home page.

One-Time Payment Payment for a Compensation Plan type that is paid one time, such as a bonus.

OrganizationAn organization is a way to group people, resources, employees and other organizations together. Organizations can be viewed under an employee’s Profile, on the Job tab, under Organizations.

PositionA unique “seat” with a number identifier in a Supervisory Organization. All employees are placed into a position.

Related ActionsNavigation to menu options that are available from an object.

Role Defines a group of people with assigned a security role with specific responsibilities/permissions.

Scheduled Weekly Hours The hours an employee is scheduled to work per week. This may different from the hours actually worked.

Supervisory Organization An organization for a group of employees that report directly to one manager.

TaskA business process step that must be completed.

Time Off Reported time that is not worked (ex: Paid Time Off, Jury Duty).

Time Type A characteristic of a job profile that categorizes the amount of time required for the job or position, such as full time or part time.

WorkerA person who is either an employee or contingent worker.
