Scenario
You will be sending out numerous meeting invites to your entire marketing team over the next few months as you meet to discuss the new products being developed, and you don't want the automatic meeting responses cluttering up your Inbox. You will create a rule that will delete any response emails unless the other user declines the meeting or includes a comment in their response.
1. Write a rule to manage the meeting responses that are automatically sent to you when people respond to your meeting invites.
a) On the Navigation bar, select Mail to return to the Mail workspace.
b) On the HOME tab, in the Move command group, select the Rules drop-down list and select Manage Rules & Alerts.
c) In the Rules and Alerts dialog box, select New Rule. The Rules Wizard will open.
d) On the Start from a template or from a blank rule page, in the Step 1: Select a template section, from the Start from a blank rule section, select Apply rule on messages I receive and select Next.
If you have virtual students who cannot step through the activity themselves, complete this activity on your desktop as student.00 while sharing your display, or have one of the other students complete the activity with his or her desktop shared.
If you have virtual students taking this class, it is important to monitor their progress during activities, especially longer activities like this one. Make sure to
continuously check in with your virtual students to ensure they are following along or completing the activity successfully. If they can share their desktop with you, you might ask them to share their desktop during activities, so you can see what they are doing.
e) On the Which condition(s) do you want to check? page, in the Step 1: Select condition(s) section, scroll down and check the uses the form name form check box.
f) In the Step 2: Edit the rule description section, select the underlined text form name. g) In the Choose Forms dialog box, from the drop-down, select Application Forms.
h) Select Accept Meeting Response and select Add.
i) Scroll down and select Tentative Meeting Response and select Add. j) In the Choose Forms dialog box, select Close.
k) In the Rules Wizard, select Next.
l) On the What do you want to do with the message? page, in the Step 1: Select action(s) section, check the delete it check box and select Next.
m) On the Are there any exceptions? page, in the Step 1: Select exception(s) section, check the except if the body contains specific words check box.
n) In the Step 2: Edit the rule description section, select the underlined text specific words. o) In the Search Text dialog box, type a space and select Add. Then select OK.
p) In the Rules Wizard, select Next.
q) On the Finish rule setup page, in the Step 1: Specify a name for this rule section, in the text box, type Manage Meeting Responses
s) In the Rules Wizard dialog box, select Finish.
2. Test your rule to ensure that it works.
a) Send a meeting invite, with a meeting time, location, and subject of your choice to the Marketing contact group.
b) When you receive the email invitation in your Inbox from your classmates, depending on how your instructor breaks the class up, respond to the meeting in one of the following ways: select Accept and select Send the Response Now, select Tentative and select Edit the Response before Sending, or select Decline and select Send the Response Now.
c) If you responded by tentatively accepting the invite and editing the response before sending, in the message body, type a comment that includes a space and select Send.
d) Once all your classmates have responded to the meeting invite, verify that the Accept meeting responses have been moved automatically to your Deleted Items folder, and the Tentative with comments meeting responses and Decline meeting responses have been delivered to your Inbox.
You will need to have different students respond differently to the meeting invite to see how the rule works. At least one student needs to respond with Accept or Tentative, at least one student needs to respond with Accept or Tentative with a comment in the message body, and at least one student needs to respond with Decline. Inform the students of this before they send the meeting invite or before they send the response to the group, and either instruct each student on how to respond or break up the class according tor response type. As you finish this activity, this would be a good time to engage the students in an informal discussion about their experiences with automatic meeting responses. Do the automatic responses bother them? Have they ever used the Tracking command? Would they now consider using rules to manage the meeting responses they receive? If your class includes virtual students, be sure to engage them fully.

Knowing how to configure the advanced calendar options, such as time zones and display options, and how to use the advanced calendar tools for managing availability options, creating calendar groups, and managing automatic meeting responses can help you use your Outlook calendar to the fullest of its capabilities.

A: Answers will vary, but may include that most users will likely configure the advanced calendar options to some extent, for example, adding their work hours or even another time zone to their Calendar workspaces. Creating calendar groups to view the availability of a group of people is also likely something that many people will take advantage of, as it makes it easier to schedule meetings with a group at a time that everyone can attend the meeting.
Of the advanced calendar management options discussed, which would you find yourself using the least? Why?
A: Answers will vary, but may include that most users probably won't find themselves using rules to manage meeting responses. Even though the Tracking command makes it easy to view who has responded to a meeting request and in what manner, most people seem to like being notified of attendees' responses, even if they delete the message as soon as they read it.
