This optional feature allows you to create and send email communications to targeted members of your Talent Community.

a. Create New Email – Opens the Email Detail tab to create a new marketing email. b. Batch Actions – Allows you to select emails for various options.

i. You can Archive or Activate selected emails. . ii. You can delete selected unsent emails. .

iii. You can Clone selected emails with or without the recipient list.

Email List – Displays a listing of emails created and currently in the site. Clicking on the email name will open the detailed view. Once sent, emails cannot be deleted. The TCM email count values (Recipient, Views, Clicks, Undeliverable, and Unsubscribed) are updated multiple times throughout the day.

a. Filters

i. Name / Description - A free-form field that filters the results based on the email Name or Description.

ii. Date Sent – Displays a predefined set of date ranges you can select. Used to filter on the date the email was sent.

iii. Start and End – Displays the predefined set of date ranges from the period filter, and also allows you to enter a customizable range.

iv. Locale - A selectable option that filters results on the locale of the email. v. Campaign – A free form field that filters results on the campaign codes used by

your organization.

vi. Show Archived – A selectable check box that will show emails that have been marked as archived.

b. Action Box

i. Archive Selected Emails – Selected emails will be moved from an “open” status to an “Archived” status.

ii. Activate Selected Email – Selected emails will be moved from an “Archived” status to an “open” status.

iii. Delete Selected Unsent Emails – Only unsent emails can be deleted. Selected emails will be deleted.

iv. Clone Selected Emails With Recipient List – Selected emails will be cloned and will include the recipient list. The cloned email name will follow with “_copy”. v. Clone Selected Emails Without Recipient List - Selected emails will be cloned

and will not include the recipient list. c. Report Fields

i. Name – The name of the email. Clickable link that opens the Email Detail tab. ii. Date Sent – Date email was sent.

iii. Status – Displays the user-selectable option of Active or Archived. Archived emails are only displayed when check box is marked.

iv. Recipients – Total number of recipients. Clickable link that opens the Email Recipients list tab.

v. Views – Total number of recorded views. To record as a view the email must be opened supporting HTML. Emails opened in a text format will not record. vi. Clicks – Total number of times the link in the email has been clicked. vii. Undeliverable – Total number of emails bounced back and undelivered. viii. Unsubscribed – Total number of emails where the recipient has unsubscribed.

ix. Locale – Displays the locale types used for the email. x. Campaign – Displays the email campaign.

xi. Description – Preview of the email description.

Email Detail –Displays the email details. The email can be edited until it is sent. Once sent, the email details can only be displayed and cannot be edited.

a. View Recipients – Opens Email Recipients tab to display all current recipients.

b. Send Test Email – Defaults to the Admin User’s email and can be sent to any email for a preview of how the email will appear to others. . Tracking is not done on test emails. c. Send Email – Sends the email to the selected recipients. Once sent, the email cannot be

recalled or edited. d. Details

i. Name – User entered name of the email.

ii. Status – User selectable email status, Open or Archived.

iii. Locale – User selectable Locale identifying the locale. Email editor will default to selected locale for the spell checker as well as other features. Only activated locales will display.

iv. Campaign - Custom code that can be tracked in the referring URL from the RMP. The maximum campaign length captured is 100 characters.

v. CC Sender – When the check box is marked, the email will be sent to the email’s author.

vi. Description – Editable field that provides the details of the email. This field is not required and is not viewable to recipients.

vii. From Display: Editable field that displays the text of who the email is from. Default display will be the company name.

viii. From Address: Displays the email address that will appear on the email. This field cannot be edited.

ix. Reply-to Display: Editable field that displays the text of the email in the reply-to. The default is the User that created the email.

x. Reply-to Address: Editable field that the reply to emails will be sent. Bounced emails and unsubscribed recipients are excluded. The default is the User’s email that created the TCM Email. If an email is used, a valid email format is required. This field can be left blank; however, no one will receive replies.

xi. Subject – Editable field for the email subject.

xii. Body – Editable field contains the email body. This will be displayed in the HTML format.

1. Edit Body – Opens the email editor in a new view. This email editor allows you to construct the email using the formatting tools and will automatically format the email into an HTML format.

a. If configured, images can be placed using the editor. Images have a size limit of 500k per image.

b. The spell checker locale will default from the email detail. c. Once the email is sent, you do not have the option to open the

editor. Tokens are available via the editor for use and are listed in the editor.

2. Preview Body – Opens an html view of how the email body will appear. xiii. Email statistics will appear to the right of the email detail.

1. Sent Date: Displays the date the email was sent. If it hasn’t been sent, it will appear blank.

2. Recipient Count: Displays the total number of recipients the email was sent to.

3. Undeliverable Count: Displays the number of bounced emails. 4. Unsubscribed Count: Displays the number of recipients that have

unsubscribed to future TCM emails as a result of this email.

5. View Count: Displays the number of times the TCM email has been viewed. This is updated nightly.

6. Click Count: Displays the number of times the links in the TCM email have been clicked. This updates nightly.

7. Created By: Displays the user who created the TCM email. 8. Created Date: Displays the date the TCM email was created.

9. Last Modified By: Displays the user who last modified the TCM email. This value will be blank if it was not modified.

10. Last Modified Date: Displays the date the TCM email was last modified. Default is the same date as the created date.

Email Recipients – Displays the list of intended email recipients. Once the email is sent, the list cannot be edited.

a. Find New Recipients – Opens the Members tab allowing you to query and select specific members or groups.

b. Add Recipients by Group – Selecting a group will add members that are currently part of the group as a recipient.

c. Remove Selected Recipients- A user selectable option to remove selected or all recipients from the email.

d. Filters

i. Email - A free-form field that filters results based on the member’s email. ii. First Name – A free-form field that filters results based on the member’s first

name.

iii. Last Name – A free-form field that filters results based on the member’s last .name.

iv. Viewed – User selectable option to choose between: All, Viewed, No Activity. v. Clicked – User selectable option to choose between: Clicked & No Activity. e. Report Fields

i. Email - Email address for the member. Clicking on the email address will open the user’s detail information.

ii. First Name – Member’s first name. iii. Last Name – Member’s last name.

iv. View Count – Total number of email views.

v. Click Count – Total number of URL clicks from the email body.
