Section 5, Part C - The AMS New Club Of The Year Award & AMS Club Awards The AMS New Club Of The Year Award
Purpose: The AMS New Club of the Year Award is designed to recognize students who have undertaken the difficult task of starting a new club, have facilitated discernible growth in the club’s visibility and membership, and have generally provided a new and valuable contribution to the campus community.
The award shall also serve to increase the new club’s presence on campus, both through the awards event and publicity from a notice/advertisement which shall be placed in the Queen’s Journal about the award recipient. Eligibility: All clubs that are newly ratified by the AMS Clubs Manager each academic year shall be eligible for the AMS New Club of the Year Award.
Selection Process: The awards recipient shall be selected by the New Clubs Award and Assistance (NCAA) committee which shall consist of :
* Clubs Manager Interns (normally 2 or 3) * Clubs Manager Deputies (normally 2) * Clubs Manager (advisor/as needed)
* Two or three interns hired by the Clubs Manager
Utilizing reports/assessments generated by the Clubs Interns, the NCAA shall convene to come to a consensus decision on the New Club of the Year award recipient. This meeting shall take place no less than three (3) weeks in advance of the award presentation, to allow time to fulfill all award recognition considerations.
Selection Criteria: A new club can demonstrate excellence in its first year through a number of observable activities, including but not limited to:
(1): Efforts to grow membership base:
Participation in AMS Clubs Nights
Setting up a club email account (AMS or gmail)
Developing online presence (facebook, twitter)
Developing own website
Consistent club activity (meetings, special events, etc.) (2) Efforts to develop unique and effective programming:
Use of bookable space (through consultation of SLC office)
Use of AMS Clubs space (where applicable; done through AMS Clubs Space Audits)
Applying for AMS Clubs Grants: is there improvement in applications between Fall and Winter? Quality of each application taken into consideration as well.
Regular meeting events/Special events feedback from Clubs Interns participating (3) Efforts to be a responsible, well-governed club
Development of clubs transition manual process
Implementing fair hiring practices
Seeking help from AMS Clubs Team when needed
Recognition: Recipient of the AMS New Club of the Year Award shall receive an award plaque commemorating their achievement, to be presented at the annual year-end AMS Volunteer Appreciation/Awards Night. Their club name and founders shall appear on the plaque.
There shall also be an AMS plaque of New Club Award Winners on which the name of all club recipients and the year shall appear. This plaque shall be displayed in the AMS lobby.
The AMS Clubs Team shall include the New Club of the Year Award recipient in their year-end Journal ad advertising re-ratification. If possible, an Op-Ed to print in the last issue of the Journal for the year shall also be written by the AMS Clubs Team to congratulate all AMS Clubs awards winners, and to outline the importance of clubs to the Queen’s community, with some highlighted club achievements for the year. If this for any reason does not occur, the Op-Ed shall be published as an AMS Blog post.
AMS Club Awards
Purpose: The AMS Club Awards are designed to recognize six (6) clubs each year that have demonstrated measurable growth and whose initiative and dedication to the provision of the activities/services they provide constitutes a new contribution to the campus community. The awards are intended to recognize six specific facets of club operation that merit recognition.
Eligibility: All clubs duly ratified by the AMS Clubs Manager shall be eligible for an AMS Club Award. No club shall receive more than one (1) AMS Club Award in a given year. The available awards shall be as follows:
(1) Best Use of Office Space (Internally Assessed) (2) Best Use of Shared Space (Internally Assessed) (3) Best Shared Space (Internally Assessed) (4) Best Special Events (Nomination Based)
(5) Best Regular Meeting Events (Nomination Based) (6) Most Improved Club (Nomination Based)
From these six clubs, the AMS Clubs Team shall select the Club of the Year award recipient, based on an assessment of their performance across all applicable award areas.
Criteria: There are two (2) different modes of assessment for the Clubs Awards listed above: Internally-Assessed and Nomination-Based. The following is a description of the criteria for each:
Internally-Assessed: A club can demonstrate excellence in these categories through a number of observable activities, including but not limited to:
Space Audit process conducted with Clubs Manager and SLC Operations Assistant throughout year.
Personalization of space, decorations on walls, etc.
Cleanliness of space
(For Best Use Of Shared Space Award & Best Shared Space Award): Space Data collected via Clubs shared space calendar system
(For Best Shared Space Award): Evidence of cooperation and problem solving for disputes between groups as they arise
Nomination-Based: These shall be assessed based on nominations from students at large. Nomination packages shall be available online on the Clubs section of the AMS website no fewer than two assemblies before they are due. The due date shall occur prior to Reading Week in February. Nomination packages shall require at least fifteen (15) student signatures, and shall include a section for testimonials from members and participants.
The nomination packages shall be the primary source of information for the Clubs Awards Committee. The knowledge/assessment of the AMS Clubs Team re each nominated club shall also be taken into account.
Selection Process:
Internally Assessed: Selection shall be made by the AMS Clubs Team, in consultation with the Commissioner of Internal Affairs and the Student Centre Officer.
Nomination-Based: Selection shall be made by a Clubs Award selection committee composed of: * AMS Clubs Manager
* Clubs Deputies
* Commissioner of Internal Affairs * Campus Activities Commissioner
* One faculty society member sitting on AMS assembly
The faculty society member on AMS assembly shall be appointed in the fall semester. This committee shall review all nomination-based awards.
Upon the completion of the selection process for all Clubs Awards recipients, the Clubs Award selection
committee shall select, from these six (6) clubs, the Club of the Year Award Recipient. The recipient shall be the club deemed to have performed the best overall across all applicable categories.
Recognition:
Recipient of the AMS Clubs Awards shall receive an award certificate commemorating their achievement, to be presented at the annual year-end AMS Volunteer Appreciation/Awards Night. There shall also be an AMS plaque of Club Awards Winners on which the name of all club recipients and the year shall appear. This plaque shall be displayed in the AMS lobby.
