If you have indirect reports, by default, you will always have access to approve their time. However, you will not receive time tasks via your Workday Inbox. Instead, you will need to:

From your home page:

1. Click the Time and Absence app. 2. Click Review Time.

3. In the Date field, accept today’s date, which will show the current pay week, OR click the calendar and select a date in a prior pay week.

4. Uncheck Review my direct reports only.

5. In the Workers field, click Workers by Manager and select the appropriate manager. 6. In the Show field, select which employees you want to show:

• All Workers

• Workers with Hours to Approve

• Workers with Unsubmitted Hours

7. Click OK. Then follow the steps on the previous page for:

• Reviewing a High Level of Your Team’s Time

• Reviewing a Team Member’s Time Details

• Approving Time

Viewing My Team’s Schedule

From your home page:

1. Click the Time and Absence app. 2. Under Tasks, click My Team’s Schedule.

3. By default, today’s date will appear in the Date field. If needed, change the date using the calendar.

4. Click inside the Workers field, check one or more employees whose schedule you want to view.

Viewing My Team’s Time Off and Leave Calendar

From your home page:

1. Click the Time and Absence app.

2. Under Tasks, click Time Off and Leave Calendar.

3. Your team’s time off and leave will appear.

Entering an Absence for an Employee

From your home page:

1. Click the Time and Absence app.

2. Under Tasks, click More, click Enter Absence.

3. Click inside the Worker field, click My Team, select the appropriate employee, click OK. 4. Click on the day(s) of the employee’s absence.

5. Click REQUEST ABSENCE.

6. Click inside the Type field, click Time Off, select the appropriate absence type, click NEXT. By default, 8 hours will be applied to the absence.

a. To change the number of hours, click EDIT QUANTITY BY DAY. b. Enter the appropriate number of hours in the Quantity per Day field. c. Click Done.

Correcting or Removing an Employee’s Absence

NOTE: Time off entered via the employee’s Absence app, cannot be changed or removed via the employee’s timesheet. You must use the Time and Absence app’s “Correct Absence” button. From your home page:

1. Click the Time and Absence app. 2. Under Tasks, click Correct Absence.

3. Click inside the Worker field, search for and select the appropriate employee, click OK. The employee’s absence calendar will appear.

4. Locate and click the absence that needs to be corrected or removed. The Correct Absence popup will appear.

• To remove the absence: Click .

• To correct the absence: Make changes to the Type, Quantity Per Day, Reason or Comments field(s).

5. Click Submit. The employee’s absence has been corrected or removed.

Entering Time for an Employee

From your home page:

1. Click the Time and Absence app.

2. Under Tasks, click More, click Enter Time for Worker.

3. Click inside the Worker field, click My Team, select the appropriate employee, click the calendar icon and adjust the Date (if needed), click OK.

4. Click on the appropriate day and time. A pop-up will appear where you will enter details about the employee’s time. Complete the following fields:

Time Type: By default, Regular Hours will appear in the Time Type field.

To change the Time Type, click inside the Search field, click Time Entry Codes, and select the appropriate time type.

In: Enter the time the employee started this span of time.

Out: Enter the time the employee ended this span of time.

Cost Center: If the employee needs their time charged to a cost center other than their home, enter the 8-digit cost center.

5. Click OK. The employee’s time has been entered.

6. Click SUBMIT to submit this time on the employee’s behalf and approve as their manager/timekeeper.

Marking an Employee as Tardy on their Timesheet

From the employee’s timesheet:

1. Click the day the employee was tardy. The Enter Time popup will appear.

2. Click inside the Time Type field, click Absence, scroll down and select Unpaid Time Off. 3. Enter the total amount of time the employee was tardy in the Hours field.

4. In the Time off Reason field, select Tardy Unpaid. 5. Leave a Comment, if needed.

6. Click OK.

7. Click SUBMIT. Review the employee’s time for accuracy.

8. Click SUBMIT. The tardy will now appear on the Occurrence Report.

Applying Critical Shift to an Employee’s Timesheet

From the employee’s timesheet:

1. Click the block of time you want to change from Regular, or another time type, to Critical Shift. The Enter Time popup will appear.

2. Click inside the Time Type field, click Time Entry Codes, scroll down and select the

appropriate Critical Shift Level based on your ministry’s guidelines (see your local HR team or Vice President for more information).

3. Click OK. Critical Shift has been applied to the employee’s timesheet. 4. Click SUBMIT. Review the employee’s time for accuracy.

5. Click SUBMIT. The employee’s time has been submitted and is ready for your approval. NOTE: If the block of time is greater than the number Critical Shift hours, break the block of time into two blocks: one for Critical Shift and one for the time type the employee clocked.
