3.3 CONDICIONES LEGALES Y REGLAMENTARIAS

3.3.1 Resumen de normativa

Project Management: Please describe the start to finish implementation process with the use of a Gantt style chart. This tool should be utilized to show the critical dependency activities and their relationships to the respective critical and non-critical dates of all deliverables between the vendor and LCSB during the data collection, software integration, implementation and deployment of the solution. It is our desire to be fully operational with at least one route

management zone (of mutual agreement) within three months from the date of Board approval of the contract and six weeks following the test pilot project on the same route management zone.

Contract Signing: LCSB approves purchase of Web Compass Routing Solution

Data Received: LCS send USCI necessary data (stops, schools, fleet, students Data Processing: USCI process data and configures Web Compass site for use

F. Reporting

Whether a cloud-based, thin client based or software solution is offered, the vendor should have the ability to provide the following reporting functions through both on-screen viewing and digital PDF export:

All reports within Web Compass are available for on-screen viewing and can be exported to .pdf, Microsoft Word, and Microsoft Excel.

1. Bell time adherence

Web Compass has a report that using planned data vs. GPS data, will display if there were any buses that missed the bell time.

Bell time adherence can be controlled by the user in Web Compass.

2. Maximum transit time adherence

Web Compass has the ability for the user to indicate a maximum transit time. If stops are not able to be routed due to a transit time violation, there is a pop up on the screen and a report produced.

3. Student information by stop assignment by route and day of week

Web Compass can produce a report to show routes by day or week with a list of students assigned to those stops.

4. Bus route (stop/student) manifest and schedules

Bus route manifests and schedules are automatically created when routes are created

5. Detailed route sheets with turn by turn directions and stops by route

User can control the level of detail on the turn by turn directions. At minimum they include left/rights and arrival times. Additionally, these directions can include:

o Listing of eligible students at stop

o Student information (address, phone, grade, emergency, contact, special needs o Specific notes for the stop

6. Produce maps of individual or multiple routes

Maps of individual or multiple routes can be created on screen or with driver’s directions.

7. Produce cost calculations (driver/vehicle/time) by route

Route cost reports include driver time, vehicle costs. This can be controlled by vehicle or vehicle type.

8. Student ineligibility report

A report of ineligible students can always be created via the user dashboard.

9. Student changed address report

A report of students with an address change can always be created via the user dashboard.

10. Student route/run bus capacity report

Web Compass tracks route/run bus capacities. We would need to work with LCS to further define what is needed in the report and will create and have available in the Web Compass report library.

11. Route/Stop audit route report for tracking changes

All changes are tracked and users can access reports to see who did what and at what day and time.

12. Tiered route generation reports with driver/route/bus/times

Web Compass features an advanced tiering system that produces reports that can be broken down by drivers, routes, bus, times, supervisors

13. Ability to provide an acceptable level of customizable reports

LCS is able to use 3rd party reporting systems such as Crystal Reports or build custom reports from SQL Server.

We will also work with the district to create custom reports that are mutually agreed upon prior to installation.

G. Warranty

1. The Contractor warrants that all equipment provided under this contract shall be new, unused, current production equipment free from manufacturer’s defects and suitable for the use intended.

Software comes with an automatic warranty of one year during which software services packs, patches fixes will be provided at no cost to the district for any defects reported, if any.

2. The Contractor shall warrant the system free from defects during a one-year warranty period and assume sole responsibility for the performance of all equipment, materials, labor, software and programs supplied during this period. The warranty period shall begin after delivery and acceptance of the system by the Lake County School Board.

Software comes with an automatic warranty of one year during which software services packs, patches fixes will be provided at no cost to the district for any defects reported, if any.

3. The Contractor during the warranty period shall include at no additional cost: a. Unlimited business day online technical support

b. Unlimited business day e-mail technical support c. Unlimited business day phone support

d. All released product updates

e. Minimum 2 hour business day response time for troubleshooting
