Within GFI MailArchiver, the mail servers to archive are defined by the configured journaling mailboxes.

A journaling mailbox is a type of mailbox within Microsoft®Exchange Server that enables the recording of emails in an organization. The difference between journaling and archiving is that, by definition, journaling is the ability to record emails while archiving reduces the strain of storing data through backups, removal, and storage. GFI MailArchiver uses Microsoft®Exchange journaling to centralize all the emails to archive in a single mailbox. An initial journaling mailbox is configured using the GFI MailArchiver post-install wizard. This enables you to start archiving emails from a Microsoft® Exchange Server.

IMPORTANT

For journaled emails to be archived within GFI MailArchiver, the archiving methodAuto- Archiving (Journaling)must be enabled. For more information, refer toConfiguring Archiving Method(page 112).

7.3.1 Viewing configured mail servers

To view configured mail servers from where GFI MailArchiver archives emails, select the

Configurationtab and clickMail Servers to Archive.

OPTION DESCRIPTION

Journaling Mailbox Defines the name of the Journal mailbox set up within Microsoft®Exchange Server and con- figured for use within GFI MailArchiver.

Active Denotes whether the Journal Mailbox is active or not.

Mailbox Server The machine name of the server on which the Journal Mailbox is configured.

Mailbox Store Defines the name of the Mailbox Store to which the configured Journal Mailbox belongs. Connection Type Defines the type of connection that GFI MailArchiver will use to retrieve emails from the

mail servers to archive emails from. 7.3.2 Adding a new journaling mailbox

Add a journaling mailbox from where GFI MailArchiver will retrieve the emails. 1. SelectConfigurationtab and clickMail Servers to Archive.

2. ClickAdd.

3. From theMail Server to Archive Wizardpage, select from the following options:

a.Select a journal mailbox from the detected journal mailbox list below.

Select this option if you have already created and configured a journaling mailbox. Select a mailbox from the list of detected mailboxes. For more information, refer toSetting up a journaling mailbox

i. Select one of the detected mailboxes and clickNext.

ii. In the Journal Mailbox Credentials window clickNextagain to complete setup.

iii. When you receive the messageMail Server to Archive configured successfully!, clickFinish.

b.Let the wizard create a new journal mailbox to use to start archiving your emails

Select this option to automatically create a new Journal Mailbox using the wizard. The new journal mailbox will be created on the selected Microsoft®Exchange Server from the list of detected servers.

NOTE

This feature works only with Microsoft®Exchange Server 2007 Service Pack 2 onwards.

i. SelectLet the wizard create a new journal mailbox to use to start archiving your emailsand click

Next.

ii. When prompted, key in the required details for the Journal Mailbox. Available options are:

Let GFI MailArchiver create a new journaling user for you to asso- ciate the mailbox/es to.

Select this option if you have already configured a journaling mailbox on a mail server. In theDetected mailboxesfield, select the mailbox database you want to connect to from the list of detected mailboxes.

Use existing journaling user to associate the mailbox/es to.

This option is enabled if a journaling user is discovered. If this option is enabled, the discovered journaling user will be associated with the 'Detected mailboxes'.

iii. ClickNext.

iv. Provide the required Administrative credentials to complete the setup.

c.Manually enter journal mailbox details

Provides the facility to create a new Journal Mailbox while providing all the details required to create such mailbox. These may include specifying a Mailbox Store, the connection method, ports used and credentials.

i. When connecting via IMAP, key in the following required details for the Journal Mailbox:

Connect using IMAP Defines the connection method used to connect to the Mail Server where the new Journal Mailbox will be created.IMAP- Available only if GFI MailArchiver is not installed on the same machine as Microsoft®Exchange Server 2003 or 2007. Mail Server Shows the detected name of the mail server of where the Journal Mailbox

resides.

IMAP Port Default is set to 143. If SSL is not enabled, the connection will be unencrypted. Use SSL Click to use SSL and enforce encryption. IMAP Port number changes to 993 auto-

matically.

Login/Password Enables you to key in a login name and a password used to connect to the selected mail server.

NOTE

Login names containing spaces are not permitted. Folder Defines the default folder that is used to journal emails.

Default value: Inbox.

Connect using EWS Defines the connection method used to connect to the Mail Server where the new Journal Mailbox will be created.Exchange Web Services (EWS)is available only for Microsoft®Exchange Server 2007 SP1 or 2010.

Login:/Password: Enables you to key in a login name and a password used to connect to the selected mail server.

NOTE

Login names containing spaces are not permitted. Folder Defines the default folder that is used to journal emails.

Default value: Inbox.

Public Folder Check to mark the folder as public. Exchange Server Host Select from the following options:

Auto Discovery(Recommended)

Manual Host to Exchange/Office 365 CAS- enter the Exchange Server IP address or client access server (CAS) host name. The CAS is a server role that handles all client connections to an Exchange Server. When connecting using EWS for Office 365, enter the Office 365 host name.

iii. ClickNextto continue setup.

4. ClickFinishto finalize Journal Mailbox setup.

7.3.3 Editing an existing journaling mailbox

1. SelectConfigurationtab and clickMail Servers to Archive.

2. Select a journaling mailbox to edit and click .

3. From theMail Server to Archive Wizardpage, adjust the settings as per instructions in theAdding a New Journal Mailboxsection.

7.3.4 Deactivating and activating an existing journaling mailbox

1. SelectConfigurationtab and clickMail Servers to Archive.

2. Select a journaling mailbox to edit and click to deactivate an existing journaling mailbox or to activate a previously deactivated journaling mailbox.

7.3.5 Removing an existing journaling mailbox

1. SelectConfigurationtab and clickMail Servers to Archive.

2. Select the journaling mailboxes to delete and click .

IMPORTANT

Deleting a journaling mailbox in GFI MailArchiver is an irreversible procedure. Journaling mailbox emails cannot be retrieved if deleted.

IMPORTANT

Removing a Journal Mailbox from GFI MailArchiver does not delete or make inoperative any existing Journal Mailboxes in Microsoft®Exchange Server.
