FLEX-KEY OPERATION...

DataFlex uses "Flex-keys" to accomplish _{various actions on} a screen

display. These are in lieu of a menu which would

_list

_{the options}

available to a system _{operator at} any given point in an application.

The _Flex-key concept works _well because the same keys are used _{for the} same function throughout all DataFlex _{applications on a given system} Foe examp1ep the same key _is used on all screens to FIND a record in the data basep _{or to} CLEAR _{displayed infomation} from _the screen image. As noted above, _Flex-keys are specified in the DataFlex

SETSCREEn Program. _{Specific detailed infomation} on the use _{of the}

Flex-keys is in this manual _{in the chapter} on Operator Procedures.

"FINDING" A RECORD IN THE DATA BASE...

Your _{cursor will wait in the} VENDOR NUMBER "window" _{on the screen.}

Enter a number one

CLEARING INFORMATION FROM THE DISPLAY SCREEN...

To _{remove this information} from _{the screem} press the CLEAR ALL Com- mand Key. The screen should be _{restored to the} same status as when

it

was originally displayed from _the menu.

"FINDING" A RECORD BY AN ALTERNATE "KEY"

This screen is configured to allow VENDORs _to be found by _either the VENDOR NUMBER _{or the} VENDOR NAME. Above. you found a record by VENDOR NUMBER. Now, we can find the same record by VENDOR NAME. While the

cursor is positioned in the VENDOR NUMBER W1ndOWg press <RETURN>» and

it

should move to the VENDOR NAME window. (The

zero which appears in the VENDOR NUMBER wIndow _{signifies null input,} and may be _ignored whenever

it

appears.) With the _{cursor in} the VENDOR NAME WindOwy _type

the word "DATA" _{(in capital letters),} and press the FIND _Flex-key.

Again, the _{information for} Data Access _{Corporation should} be

displayed.

MOVING THE CURSOR AROUND THE SCREEN...

Pressing the <RETURN> command key _will move the

cursor sequentially through the entry wIndows _{of the} screen image. To _move backwards on

the screen (for example from _the VENDOR NAME window back _to VENDOR NUMBERL press the BACK WINDOW _Flex-key. Each _{strike of} <RETURN> or BACK WINDOW _will move _{the cursor forward or} backward one window. One

caution: a BACK WINDOW from the

first

window, or a <RETURN> from _the

last window _will cause all the windows to c1earg and possibly a

"record" to be saved which you didn't intend to. The _safe way to clear all the windows _{is to strike the} CLEAR ALL F1ex-Key» and _to

leave the screen altogether, is to strike the ESCape Flex-key. "SCANNING" THE DATA BASE...

DataFlex _provides a means for you to scan the records in the data base by any pre-deflned key _index. You can enter the index _at any point

and move forward or in reverse through the records in the data base

file.

With a clear screen image (as _described above) and _{the cursor}

in the VENDOR NUMBER window, press the NEXT RECORD _Flex-key. Vendor number

_"l"

should be _displayed. NOWg press NEXT RECORD _again... vendor number _"2" should be _{displayed. This} same process can be used on any Indexed window on a _DataFlex screen image.

function on a window _that has un-indexed _data.

A scan of data base _information can begin _at any place in an index.

For example

_if

you wanted _to scan all records _with a VENDOR NAME _that

started with the letter "G", you would move _{the cursor to the} VENDOR NAME window and _enter a "G". Then _{press the} NEXT RECORD _Flex-key and

the

_first

record in the data base which has a VENDOR NAME alpha- betlcally following the letter "G" _wIll be _{displayed, possibly} "GARNER SYSTEMS" _or "GENERAL ELECTRIC". To scan to the record _{following the} one disp1ayedD press NEXT RECORD _agaim and _{agaim etc.} To _move in

reverse, use the PREVIOUS RECORD Flex-key.

ENTERING A NEW RECORD INTO THE DATA BASE...

So _{far everything that} we have done has used data _{already stored in}

the data base.

_It's

_{time for} some _{of your} own information! Clear the

screen using the CLEAR ALL _{Flex-key. Next.} press the <RETURN> Key and a _zero (O) will be displayed on _the screen temporarily; when _your new

data is saved a VENDOR NUMBER _{will automatically} be assigned _{to your} new entry.

The _cursor should _now be _{in the} VENDOR NAME window. Type _the name "MICRO MANUFACTURING" and press <RETURN>. Then

fill

in a

fictitious

address, city. state, ZIP, area code and phone number, terms and

credit

_limit.

When _{the credit}

_limit

has been _{entered, your} data _for MICRO MANUFACTURING _will be saved _{In the} data base _{automatica11y.} The

remaining windows _{on the} screen contain calculated data _{that is} up- dated by _{other parts of the} system. No _{operator entry} can be made _to

those windows.

The new record is now stored in the data base. To FIND itg place the

cursor in the VENDOR NAME window, _type MICRO MANUFACTURING and press

the FIND _Flex-key. MICRO MANUFACTURING'S _record should be _displayed on the screen. You can CLEAR _the screen image, or use NEXT _or PREVIOUS RECORD _{Flex-keys to} scan other records in the data base. MANGING INFORMATION IN THE DATA BASE...

One _{of the} most _{important functions of} any information system _{is to}

provide for the _on-going updates _{to stored data. This} would _include such examples as address changes _in a mailing

_list.

price changes _in an inventory system, _etc. The process of making these changes _in DataFlex _{is easy...} you FIND _{the record to} be changed or updatech

enter the necessary changes on the displayed screen imageg and then SAVE _{the record} back _{to the} data base. _{Let's try}

it...

FIND _the data base _{record for} MICRO MANUFACTURING. Move _{the cursor} down _{to the} phone number windows and change _{the existing} data _to something _{else (e.g.} (414)354-6868 _{to (939)456-9876).} Now press _the SAVE _Flex-key, and _{the record will} be _stored back _{in the} data base

with the changed phone number. FIND MICRO MANUFACTURING again _to

verify that your change has been _recorded.

The SAVE Command _can be executed _at any time that a record is dis- played on the screen image. The _{displayed information wIll} be SAVEd

regardless of the position of the cursor in the image. _{This allows} you to save keystrokes by moving _{the cursor} as far Into an image as necessary to change _information, and _then execute _the SAVE _without moving _{to the} end _{of the screen.}

HOW TO EXIT THE SCREEN & RETURN TO THE MENU...

To _leave any DataF1ex screen image and _{return control to the} Menu,,
